8. Facilitator Presents Second Draft Team Building Plan to Leader
In Step 8 of our 12-step course in how to design a Right-Minded Team Building Workshop, you’ll learn how to:

Create Your Second Draft Team Building Plan
After completing the first few interviews, you will naturally begin formulating your Second Draft Team Building Plan.
But now is the time to write the detailed plan using your Punch List.
As you review the Punch List and the leader’s outcomes, ask yourself:
- What issues are preventing Right-Minded Teamwork?
- Which issues need the most immediate attention?
- Which ones should be addressed first?
- If a particular issue was resolved, will it automatically resolve other issues?
With these answers in mind, rewrite the workshop outcomes. It’s likely you will have too many outcomes for the first workshop, so go ahead and recommend a long-range team-building plan that could include several more workshops.
Now, with the outcomes you think should be accomplished in the first workshop, create an agenda with facilitated exercises that will ensure the team creates plans or Work AgreementsA Work Agreement is a collective teammate promise to transform non-productive, adversarial behavior into collaborative teamwork behavior. More that will achieve those outcomes.
Present, Modify and Finalize the Team Building Plan
Sit next to the leader as you present this plan, just like you did in Step 4.
This should be a “no surprise” presentation because you’ve kept them in the loop during the interview and survey process.
Now, walkthrough and discuss each outcome and its benefits, plus each agenda item explaining how it will achieve the outcomes.
As before, I guarantee you the leader will have good ideas about how to modify or add, or even delay some parts of your plan.
No matter what happens in the presentation, come to an agreement on the entire plan. Then say,
I will go back to my computer and make all these changes. I’ll email it to you for final approval. At that point we will be ready to distribute the final agenda.
Other Tasks to Present the Team Leader
Decide on roles and responsibilities. At the basic level, agree on roles you might play in the workshop, other than the facilitator. For example, you might be a trainer as well as a consultant who provides opinions.
Clarify the leader’s workshop role. The leader often wants to be treated as equal versus the boss. However, they are responsible for making a decision if the team can’t come to a consensus.
In your book’s Resources section, you will find a really good list of Team Building Roles and Responsibilities.
Agree on agenda distribution. It’s best for the leader to distribute the final agenda. And once again, it is your responsibility to draft that email. Include in the communication:
- Explanation of the outcomes and agenda
- Teammate preparation instructions
- Confirmation of logistics: location, dates, start/end times, etc.
Discuss “carrying on” and tracking actual performance. Agree on these two post-workshop tasks: 1) carrying on and actually using the team’s work agreement and 2) creating and using a simple method to track actual team performance such as the Team Perception Survey.
OK, now that you and the leader are aligned on the final workshop design, it’s time to distribute the agenda.
